Drop-Off Policy
All caregivers must sign their child in with the educator during the designated drop-off window of 8:50-9:00 AM. After this window, groups will depart for their morning activities, and Sunhouse Outdoor Academy is not responsible for missed or delayed programming due to tardiness. Educators may be unable to respond promptly to late arrivals contacting them by phone, as their priority is the safety and engagement of children already in attendance.
For the safety of children with severe allergies, participants must not arrive with any traces of tree nuts on their face, hands, or clothing. Additional allergies specific to a group may require similar precautions, and caregivers will be notified if applicable.
Pick-Up Policy
Guardians must present photo identification at pick-up and sign their child out with the educator. Sunhouse Outdoor Academy requires that guardians provide the full names and phone numbers of any additional authorized contacts for pick-up. These contacts must be approved in writing via email. Educators are instructed not to release any child to an unauthorized person, strictly adhering to their duty of care.
Sunhouse Outdoor Academy enforces a strict late policy to respect the time and commitments of its educators. Late arrivals beyond the scheduled pick-up window will incur a fee, based on the time at pickup. This fee will be invoiced to the Client.
Repeated or extended lateness may result in additional charges or removal from the program at the discretion of Sunhouse Outdoor Academy. In exceptional circumstances, Clients must notify their group’s educator as soon as possible. If guardians or emergency contacts cannot be reached after a child has been left unattended, educators are required to follow standard welfare procedures.
Weather Policies
Programs may be canceled due to unsafe weather. These cancellations are non-refundable. Clients must be available to pick up their child if a weather advisory is issued or if site conditions become unsafe.
Children must arrive dressed appropriately for the weather. A guide will be provided. If a child doesn’t have the right gear, they won’t be able to participate unless it’s brought in promptly.
Behaviour and Conduct
Sunhouse Outdoor Academy may suspend or remove a child from the program if their behaviour poses a risk to others or if disruptive behaviours continue despite intervention. No refunds will be given.
Harassment, discrimination, or behaviour that makes staff, other children, or families feel unsafe will result in immediate termination of services without a refund. This also includes any discriminatory behaviour displayed by clients themselves.
