Privacy policy

Sunhouse Outdoor Academy Inc., operating as Sunhouse Camps ("Sunhouse", "we", "us"), handles personal information in accordance with British Columbia's Personal Information Protection Act (PIPA). This policy explains what we collect on this website, why, and the choices you have.

It covers sunhousecamps.com and sunhousecamps.ca. It does not cover any third-party site or service we link to. Our sister company, Sunhouse Babysitting Agency Inc., has its own policy at sunhousebabysitting.ca/privacy.

What we collect

• Early bird list: your email address, when you join the list for the coming season.
• Enquiries: your name, email address, phone number and whatever you tell us when you email or call.
• Applications to work with us: your name, email address, phone number, the role and hours you are interested in, your resume, your experience with children, and whether you currently hold CPR and First Aid, a police check and a vulnerable sector check.
• Registration: when you book a camp week, your name and contact details, payment details handled by our payment provider, and the information about your child that we need to care for them safely, which we collect from you on our registration forms.
• Technical information: basic information your browser sends when you visit, such as your device type and approximate location from your IP address.

Why we use it

• To tell you when registration opens, if you joined the early bird list.
• To answer your enquiry.
• To review your application and contact you about it.
• To run camp: to register your child, to give their educators what they need to care for them safely, to reach you during the day, and to send service messages about your booking.
• To keep our website secure and working.
• To meet our legal, insurance and accounting obligations, and to establish or respond to a claim or complaint.

Emails from us

We send marketing emails, such as news about the coming season, only where you have opted in, by joining the early bird list or ticking a marketing box on a form. You confirm your address by clicking the link in the email we send you first. Every marketing email has an unsubscribe link, and you can also unsubscribe by emailing us.

Service messages about a booking you have made, such as confirmations, packing lists and changes, are part of the service and are sent whether or not you have opted in to marketing.

Children

Our website and services are used by parents and guardians, not by children. We collect information about a child only from the adults responsible for them, and only to run camp safely.

The photos and videos on this website show Sunhouse children whose parents or guardians gave written consent. We ask for that consent separately at registration, and you can say no without it affecting your booking.

Who we share it with

We do not sell your personal information. We share it only with the service providers who process it for us, with our insurers, lawyers and accountants where relevant to a claim or our obligations, and where the law requires or permits it, including reports we are required to make to child protection authorities.

Our main providers are MailerLite for the early bird list, Google Workspace for email, documents and application files, Shopify for registration and payment, Cloudflare for hosting, and Quo for our phone line. Providers change from time to time. Some store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.

Calls to our office

Calls to and from our business line may be recorded. An automated notice plays at the start of a recorded call. If you would rather not be recorded, tell us at the start and we will take written notes instead.

Cookies

This website does not set cookies of its own. Our hosting provider may set cookies that are needed to keep the site secure. If we add analytics, this policy will say so and explain how to turn it off.

How long we keep it

We keep personal information for as long as we need it for the purposes above, including dealing with a complaint, a dispute or a claim, and for as long as the law requires. Early bird addresses stay on the list until you unsubscribe. Applications are kept for one year unless you join our team. After that, information is securely deleted or anonymized.

Security

We use reasonable administrative, technical and physical safeguards to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your rights

Under PIPA you may ask to see the personal information we hold about you, ask us to correct it if it is wrong or incomplete, and withdraw your consent, subject to legal and contractual limits. Withdrawing consent may mean we can no longer provide some or all of our services.

Email our Privacy Officer at hello@sunhousecamps.com. We respond within the time PIPA allows and may need to verify your identity first. If you are not satisfied, you may contact the Office of the Information and Privacy Commissioner for British Columbia.

Changes

We may update this policy. Changes take effect when posted, and the date at the top shows when it last changed. This policy was last updated on September 26, 2026.
